We are opening a new dental office and seeking a highly organized, motivated, and experienced Office Manager to lead our administrative operations and help create an exceptional patient experience from day one.
π Position Summary
The Office Manager is responsible for overseeing all non-clinical operations of the practice, ensuring efficiency, profitability, and outstanding patient service while supporting the clinical team.
π Key Responsibilities
π₯ Hiring & Team Leadership
Recruit, interview, hire, and onboard front office staff
Train and mentor team members for high performance
Conduct performance evaluations and provide ongoing coaching
Develop staff schedules and manage time-off requests
Promote a positive, team-oriented work environment
π Billing & Financial Management
Oversee patient billing, insurance verification, and claims processing
Ensure accurate coding and timely claim submissions
Manage accounts receivable and collections
Monitor daily, weekly, and monthly financial reports
Handle payment plans and patient financial arrangements
π Training & Development
Train new hires on systems, policies, and procedures
Ensure staff stays up-to-date on dental software and best practices
Implement ongoing training programs to improve efficiency and service

Manage daily office workflow and administrative systems
Maintain office policies, procedures, and documentation
Coordinate with dentists and clinical staff for seamless operations
Oversee scheduling to maximize productivity
π Patient Experience
Ensure excellent customer service from check-in to follow-up
Resolve patient concerns professionally and promptly
Maintain a welcoming and organized front office environment
π Compliance & Records
Ensure compliance with HIPAA, OSHA, and dental regulations
Maintain accurate patient records and documentation
Manage office audits and regulatory requirements
π¦ Inventory & Vendor Management
Oversee ordering and inventory of office supplies
Maintain relationships with vendors and service providers
Control costs while ensuring operational efficiency.
π Practice Growth & Strategy
Support marketing and patient retention initiatives
Track KPIs and generate performance reports
Identify opportunities to improve systems and grow the practice

Qualifications
Previous dental or medical office management experience preferred
Strong knowledge of dental insurance, billing, and coding
Proven leadership and team-building skills
Excellent communication and organizational abilities
Ability to multitask in a fast-paced environment
Experience with dental practice management software
