Treatment Planning and Insurance Coordinator

The front office coordinator is primarily responsible for treatment plan presentation, insurance coordination, and financial communication with patients. This role plays a critical part in case acceptance, revenue growth, and creating a clear, confident experience for patients.
The ideal candidate is detail-oriented, financially savvy, confident in patient conversations, and highly organized.

-Key Responsibilities
Treatment Planning & Case Acceptance (Primary Focus)
Present treatment plans clearly and confidently to patients
Review clinical recommendations and ensure patient understanding
Discuss fees, financing options, and payment arrangements
Support case acceptance and follow up on pending treatment
Coordinate large cases and phased treatment plans

-Insurance Coordination
Verify insurance benefits accurately
Submit and track insurance claims
Review EOBs and ensure proper posting
Communicate patient portions and resolve insurance discrepancies
Understand PPO, out-of-network, and fee-for-service structures

-Scheduling & Production Support
Coordinate treatment scheduling to align with production goals
Prioritize high-value and comprehensive cases
Help maintain a productive and organized schedule
Administrative & Communication Support
Maintain accurate documentation in practice management software
Communicate professionally with patients and team members
Assist with reporting related to production and collections
Ensure compliance and confidentiality

-Qualifications
2+ years dental front office or treatment coordination experience
Strong understanding of dental insurance and coding
Confident communication and financial presentation skills
Detail-oriented with strong organizational ability
Experience with practice management Dentrix software preferred
