Position Overview
The Front Office/Treatment Coordinator (TC) plays a key role in delivering an exceptional patient experience and driving practice revenue. This role focuses on educating patients about their dental treatment needs, presenting financial options, maximizing case acceptance, and ensuring patients never leave without a clear next step in their care plan. The ideal candidate is confident, empathetic, organized, and skilled in communication.
Key Responsibilities1. Patient Education & Case Presentation
Present treatment plans clearly and persuasively using a best option / second option framework.
Explain clinical recommendations in patient-friendly language alongside X-rays and photos.
Communicate benefits of completing treatment promptly, emphasizing health and financial advantages.
Answer questions regarding procedures, timelines, and expected outcomes.
2. Financial & Insurance Coordination
Review insurance benefits and provide accurate cost estimates.
Present financing options such as CareCredit, Sunbit, Cherry and in-house plans.
Explain patient portion clearly and confidently.
Assist patients in selecting a financial arrangement that supports treatment acceptance.
3. Scheduling & Same-Day Treatment
Prioritize same-day dentistry whenever possible.
Manage the schedule to ensure efficient patient flow and maximize production opportunities.
Book follow-up appointments before patients leave the office.
Follow up with unscheduled treatment daily.
4. Communication & Patient Experience
Build trust and rapport quickly with patients.
Maintain a warm, professional demeanor at all times.
Ensure seamless handoff between doctor, front desk, and clinical team.
Maintain strong follow-up communication via phone, text, and email.
5. Administrative Duties
Help maintain accurate patient records and document all treatment decisions.
Track case acceptance metrics and contribute to daily/weekly performance goals.
Assist with patient intake, consent forms, and financial agreements.
Support front office operations as needed.
Skills & Qualifications
Experience in dental or medical treatment planning highly preferred.
Strong communication and sales skills.
Ability to present financial information confidently and accurately.
Knowledge of dental terminology, coding, and insurance basics is a plus.
Excellent multitasking and organizational abilities.
Friendly, patient-focused personality with a customer service mindset.
Proficiency with dental practice software (FUSE, Open Dental, Dentrix, Eaglesoft, etc.) is a bonus.
Performance Expectations
Maintain a high treatment acceptance rate.
Ensure all patients have a scheduled next step before leaving the office.
Deliver consistent, accurate financial presentations.
Work collaboratively with doctors to achieve daily production goals.
Maintain strong follow-up systems for pending or incomplete treatment.
