We are a busy, growth-minded general dental practice with multiple providers and a strong mix of PPO and private-pay patients. We are seeking a full-time dental office manager who will operate the practice with an owner’s mindset—someone who can lead with confidence, protect the patient experience, and keep the business running at a high level.
This is a true leadership role with real authority and accountability. You will oversee a team of 20+ clinical and administrative staff, work closely with the doctors, and take ownership of the numbers that drive practice success. The right candidate is proactive, organized, and comfortable making decisions in a fast-paced environment.
Key Responsibilities
- Lead, coach, hire, onboard, and develop clinical and administrative team members
- Set expectations, manage performance, and address issues directly and professionally
- Run daily huddles and monthly team meetings that improve communication and results
- Oversee production, collections, accounts receivable, insurance claims, and aging reports
- Build and manage the operating budget, including supplies and overhead control
- Monitor KPIs such as production per provider, hygiene reappointment rate, case acceptance, new patient flow, and schedule efficiency
- Keep doctor and hygiene schedules productive by proactively filling openings and reducing downtime
- Support treatment plan presentation and financial arrangements to strengthen case acceptance
- Maintain a high standard of patient service, follow-up, and issue resolution
- Ensure OSHA, HIPAA, and Texas compliance, along with accurate records and end-of-day procedures
- Manage vendor, lab, facility, and equipment relationships
What We’re Looking For
- 5+ years of experience in a dental practice, including 3+ years in dental management
- Experience leading teams of 10 or more
- Strong knowledge of dental practice management software and dental insurance
- Comfort reading reports, understanding financial performance, and explaining variances
- A calm, direct, and fair leadership style with strong integrity and accountability
Preferred experience includes working in a multi-doctor setting, a practice with 15+ team members, or a cosmetic/fee-for-service environment. Familiarity with cosmetic dentistry, crowns, restorative dentistry, implant restoration, treatment planning, patient education, digital X-rays, iTero, Invisalign, veneers, local anesthesia, nitrous oxide administration, operative dentistry, and AACD standards is a plus.
