We are currently seeking a proactive and experienced Operations Manager to oversee and elevate our day-to-day operations.
Role Overview:
The Operations Manager plays a key leadership role in ensuring the dental practice runs smoothly, efficiently, and profitably. This person will be responsible for overseeing staff performance, maintaining a full and productive schedule, ensuring exceptional patient experiences, and fostering a positive and motivated work environment.
Key Responsibilities:
1. Staff Management & Leadership
Recruit, hire, train, and onboard administrative and clinical staff
Conduct regular staff meetings and performance reviews
Create and maintain weekly/monthly staff schedules to ensure full coverage
Motivate team members to meet individual and team goals
Provide ongoing coaching, mentorship, and conflict resolution
2. Daily Operations & Workflow
Oversee daily operations to ensure smooth patient flow and efficiency
Monitor and improve operational processes and office systems
Ensure treatment rooms, front desk, and communal areas are organized and well-maintained
Maintain compliance with OSHA, HIPAA, and other industry regulations
3. Scheduling & Productivity
Ensure the practice schedule is consistently full and optimized for production
Monitor appointment booking systems and reduce no-shows/cancellations
Collaborate with the front desk to ensure timely follow-ups and reactivations
4. Reporting & Analytics
Run and analyze daily, weekly, and monthly production and collection reports
Track office performance metrics and implement action plans for improvement
Present updates to the practice owner
5. Patient Satisfaction & Retention
Oversee the patient experience from check-in to follow-up
Respond to and resolve patient concerns or complaints professionally
Implement systems to ensure patient satisfaction and long-term retention
Monitor reviews and feedback; ensure a high online reputation rating
6. Strategic Problem-Solving & Initiative
Identify inefficiencies or bottlenecks and develop improvement strategies
Anticipate issues before they arise and take proactive steps to address them
Take ownership of the office’s success and continuously seek ways to grow the practice
What We’re Looking For:
Proven experience in dental (minimum 2 years preferred)
Strong leadership and people management skills
Excellent communication, conflict resolution, and organizational skills
Tech-savvy with practice management software
Ability to manage multiple priorities in a fast-paced environment
A problem-solver who thrives on taking initiative and leading by example
A collaborative mindset with a commitment to growth, for the team and the practice
Bonus Qualifications:
Dental assisting or clinical background (a plus, not required)
Familiarity with insurance verification, billing, and claims management
Marketing and patient outreach experience
What We Offer:
