Dental Scheduling and Treatment Coordinator
About the Role
Children's Choice Pediatric Dentistry and Orthodontics is seeking a Dental Scheduling and Treatment Coordinator to support a smooth patient experience and consistent care coordination. This role partners with the clinical team to schedule appointments, coordinate treatment plans, and ensure families understand next steps.
Success in this position means maintaining an organized, goal-driven schedule; delivering excellent customer service; and using dental knowledge to help patients and caregivers navigate care with confidence.
Duties & Responsibilities
Schedule and confirm patient appointments while optimizing provider availability and minimizing wait times.
Coordinate treatment plan timelines by tracking recommended procedures and next-visit requirements.
Support treatment communication by explaining scheduling needs and answering common patient/caregiver questions.
Collect, review, and update patient information to ensure accurate records and smooth visit preparation.
Maintain organized follow-up workflows for outstanding appointments, referrals, and treatment milestones.
Track scheduling and treatment goals, monitoring progress and adjusting plans to meet targets.
Provide excellent customer service by responding professionally, empathetically, and promptly.
Collaborate with team members to coordinate care and ensure accurate handoffs across departments.
Document interactions and scheduling actions clearly to support continuity of care.
Use dental knowledge to identify scheduling needs and route patients appropriately for pedo and/or ortho care when preferred.
Maintain confidentiality and follow office policies to protect patient information.
Requirements
2+ years of experience in a scheduling, coordination, or patient-facing role within a dental or healthcare setting.
Dental knowledge required to support treatment coordination and scheduling accuracy.
Excellent customer service skills with a patient-first, professional communication style.
Preferred experience working with pediatric (pedo) and orthodontic (ortho) patients.
Demonstrated track record of setting goals and following through to achieve measurable outcomes.
Strong organization skills with the ability to manage multiple priorities and schedules.
Comfort working with scheduling and patient record systems; experience with common dental scheduling/records tools is preferred.
Ability to communicate clearly with patients and caregivers, including explaining next steps and expectations.
Reliability, attention to detail, and a positive team mindset.
High level of professionalism and respect for privacy and confidentiality.
