Position Overview:
As the Dental Office Manager, you will oversee the daily operations of our office, ensuring smooth workflows, outstanding patient experiences, and seamless coordination between the front desk and clinical teams. This role is ideal for a highly organized, detail-oriented professional who thrives in a leadership position and is eager to grow with a new and thriving practice.
Temporary Dual Role:
In the early stages of our practice, we anticipate a lighter patient schedule and may have opportunities arise where you will need to work as a dental assistant. During this time, you will be cross-trained and expected to work in both front desk and dental assistant capacities. This flexibility will be essential to helping us deliver exceptional care and grow our patient base together.

Key Responsibilities:
Office Manager duties:
Manage day-to-day office operations, ensuring a smooth and efficient workflow.
Hire, train, and supervise office staff to maintain a high standard of professionalism and patient care.
Oversee patient scheduling, insurance verification, billing, and collections.
Monitor office budgets, accounts payable/receivable, and supply inventory.
Implement and maintain policies and procedures to ensure OSHA and HIPAA compliance.
Foster a welcoming and positive environment for both patients and staff.
Act as a liaison between the dental team and patients to address concerns and enhance patient satisfaction.
Develop and implement strategies to grow the practice and build our patient pool.
Administrative Tasks
Manage and optimize patient appointments to ensure efficient use of the dentist’s and hygienist’s time.
Minimize cancellations and no-shows by implementing reminder systems
Supervise front desk staff, dental assistants, and other team members.
Create work schedules and ensure adequate staffing coverage.
Conduct regular staff meetings to communicate updates and address concerns.:
Maintain compliance with OSHA and HIPAA regulations.
Ensure proper sterilization and safety protocols are being followed.
Keep up with updates to dental regulations and licensing requirements.
Oversee the management and accuracy of patient records, ensuring confidentiality.
Implement and maintain electronic health records (EHR) systems.
Financial Tasks
Oversee billing processes, including patient payments, insurance claims, and accounts receivable.
Follow up on unpaid claims or patient balances to ensure timely collections.
Verify patient insurance coverage and benefits.
Handle insurance pre-authorizations, claims submissions, and appeals.
Keep up-to-date with insurance policies and codes.
Manage the office budget, monitor expenses, and identify areas for cost savings.
Approve vendor invoices and payments.
Prepare and analyze financial and operational reports, including revenue, expenses, and patient flow.
Present metrics to the practice owners and suggest improvements.
Patient-Focused Tasks
Address patient inquiries, complaints, and feedback to enhance satisfaction.
Explain treatment plans, costs, and payment options to patients.
Ensure a welcoming, professional environment to improve patient retention.
Develop and implement marketing strategies to attract new patients, such as online advertising or community events.
Oversee patient referral programs and social media presence.
Monitor online reviews and work to maintain a positive reputation.
Operational Tasks
Monitor and order dental supplies and equipment.
Maintain vendor relationships to ensure timely deliveries and cost-effective purchasing.
Oversee dental software, troubleshooting issues and ensuring the team is trained to use it effectively.
Ensure the office is clean, organized, and reflects a professional image.
Oversee maintenance and repairs of office equipment and facilities.
Leadership and Strategy
Create a positive and productive work environment to boost morale and teamwork.
Recognize and reward staff contributions.
Develop and update office policies and procedures to improve operations.
Ensure all team members understand and adhere to office policies.
Work with the dentist or practice owner to set goals for patient care, revenue, and growth.
Implement strategies to achieve these goals while maintaining quality care.
Qualifications:
Education & Certification:
Bachelor’s degree in business administration, healthcare management, or related field (preferred).
CPR certification (or willingness to obtain).
Minimum of 3 years of dental office management experience (required).
Familiarity with high-end or luxury service environments is a plus.
Proficiency with OpenDental Management Software.
Strong leadership and team-building skills.
Excellent communication, problem-solving, and organizational abilities.
Financial acumen, with experience managing budgets and office metrics.
Professional appearance and demeanor aligned with a high-end practice.
A passion for creating exceptional patient experiences.
