Our office is seeking an experienced and versatile Front Office Specialist to join our dental team! This is a unique opportunity for a well-rounded dental professional with experience in patient coordination, treatment coordination, and financial coordination.
Schedule: Monday – Thursday; Alternating Fridays (Full-time)
Position Responsibilities:
- Provide an exceptional patient experience by greeting patients, answering phones, checking patients in/out, and assisting with general patient needs.
- Manage patient scheduling, including new patient appointments, recalls, missed appointments, unscheduled treatment, and follow-up to help maintain a productive schedule.
- Assist patients with registration, demographic information, and maintaining accurate patient records.
- Verify insurance benefits and assist patients with understanding their coverage, estimated benefits, and financial responsibilities.
- Present and explain treatment plans, treatment costs, insurance coverage, and available financing options in a clear and patient-friendly manner.
- Coordinate financial arrangements, collect patient payments, obtain signed treatment plans, and ensure patient accounts are accurately maintained.
- Monitor and follow up on outstanding treatment, patient balances, and insurance claims to help support treatment completion and timely collections.
- Submit and track insurance claims and pre-authorizations, including ensuring appropriate documentation is provided to help prevent payment delays.
- Review patient ledgers and insurance EOBs, identify outstanding balances, and communicate financial information to patients as needed.
- Support patient retention and treatment acceptance through consistent follow-up, recall outreach, and communication with patients regarding recommended care.
- Assist with patient satisfaction initiatives and encourage patient referrals when appropriate.
- Collaborate with clinical and administrative team members to ensure smooth daily operations and a positive patient experience.
- Assist with general front-office administrative duties, including scanning, filing, and other tasks as needed.
- Maintain patient confidentiality and comply with HIPAA, company policies, and office procedures.
The Ideal Candidate Will Have:
- 2-3 years of experience with patient coordination, treatment coordination, and financial coordination in a dental office front-office environment
- Strong understanding of dental terminology
- Working knowledge of dental insurance, EOBs, treatment plans, and pre-authorizations
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Ability to confidently communicate treatment and financial information to patients
- Proficiency with dental practice management software preferred
