Position Overview
We are seeking an experienced Patient Experience & Insurance Coordinator to join our front office team. This role supports our expanded evening and Saturday hours and plays a critical part in patient satisfaction, treatment acceptance, and operational efficiency.
This is not an entry level position. The ideal candidate has strong dental front desk and insurance experience, is comfortable working independently with minimal training, and understands the importance of accurate insurance coordination combined with excellent patient communication.
Key Responsibilities
Patient Experience and Front Office Operations
Greet, check in, and check out patients in a professional and welcoming manner
Manage incoming calls, texts, and online communication through Dental Intelligence and RingCentral
Monitor missed calls and follow up promptly using patient engagement tools
Send digital forms, appointment reminders, follow up messages, and review requests
Maintain a calm, organized, and patient focused front office environment
Encourage Google reviews and support online reputation management
Insurance and Billing Coordination
Verify insurance eligibility and benefits prior to appointments using portals and Vyne
Accurately enter and update insurance information in Open Dental
Submit insurance claims, post EOBs, and follow up on unpaid or denied claims
Collect copays and apply after hours fees according to clinic policy
Ensure billing accuracy, correct codes, and up to date patient balances
Treatment Coordination
Present treatment plans clearly and confidently
Educate patients on procedures, insurance coverage, and financial responsibility
Assist with scheduling treatment and follow up appointments
Collaborate closely with the clinical team to ensure seamless patient flow
Requirements and Expectations
Minimum of 3 years of dental front desk experience in a dental practice
Hands on experience with Open Dental is required and non negotiable
Strong working knowledge of PPO dental insurance and billing workflows
Ability to verify benefits, submit claims, and resolve insurance issues independently
Experience with Dental Intelligence and Vyne is preferred but not required
Excellent verbal and written communication skills
High attention to detail with strong organizational and multitasking abilities
Professional demeanor with a patient first, team oriented mindset
Schedule
Tuesday through Friday: 5:00 PM to 9:00 PM
Saturdays: 7:00 AM to 2:00 PM
