Compensation: $80,000–$100,000 annually, based on directly relevant experience and demonstrated results, plus monthly, quarterly and annual performance bonuses

Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
*Weekends: The practice is closed on weekends, except for occasional special events. Employees will receive advance notice when attendance is requested.

About the Practice

Dr. Marjan Mirani’s Beverly Hills practice provides personalized cosmetic, implant, restorative and preventive dentistry with an emphasis on trust, conservative recommendations, natural-looking results and an exceptionally thoughtful patient experience.

We are seeking an accomplished dental leader who can protect and elevate that patient experience while strengthening the systems, team accountability and operational performance behind it.

This is not a conventional receptionist or entry-level front-office position. The person selected will serve as a key partner to the doctor and will take meaningful ownership of front-office leadership, treatment coordination, schedule performance, patient communication and the complete patient journey.

Primary Responsibilities

Practice and Front-Office Leadership

* Lead the daily operations of the front office
* Establish clear daily priorities and ensure tasks are completed
* Coach, support and professionally hold front-office team members accountable
* Help train, onboard and develop administrative team members
* Lead or coordinate productive morning huddles
* Communicate schedule opportunities, patient concerns and operational priorities to the doctor and clinical team
* Maintain consistent systems, protocols and documentation
* Identify recurring operational problems and create practical solutions
* Support a professional, collaborative and patient-centered office culture
* Serve as a dependable leadership presence when the doctor is focused on patient care

Treatment Coordination

* Coordinate new-patient, cosmetic, implant and comprehensive-treatment consultations
* Present treatment plans clearly, confidently and ethically
* Explain treatment sequencing and next steps in patient-friendly language
* Discuss fees, insurance estimates, financing and payment arrangements
* Help patients understand the value and importance of recommended care without using pressure-based sales tactics
* Secure appropriate financial commitments and deposits
* Follow up consistently with patients who have unscheduled or incomplete treatment
* Maintain accurate treatment follow-up records
* Monitor treatment acceptance, case conversion and outstanding opportunities
* Coordinate communication between the doctor, patient, clinical team and outside specialists when necessary

Schedule Management

* Manage and optimize the provider and hygiene schedules
* Protect productive clinical time while maintaining an excellent patient experience
* Identify and fill schedule openings proactively
* Minimize preventable cancellations and no-shows
* Maintain appropriate appointment flow throughout the day
* Coordinate emergency patients without unnecessarily disrupting scheduled care
* Review upcoming schedules for incomplete treatment, missing information, financial concerns and other potential obstacles
* Strengthen recall and patient-reactivation systems
* Help maintain a balanced and productive schedule

Financial and Administrative Performance

* Monitor collections, patient balances and accounts-receivable trends
* Coordinate insurance estimates, benefit verification and claims follow-up
* Ensure patients receive accurate information regarding estimated insurance benefits and personal financial responsibility
* Follow up on outstanding balances professionally and consistently
* Review administrative reports and identify areas requiring attention
* Help maintain clean, accurate and complete patient records
* Monitor agreed-upon practice KPIs
* Provide the doctor with concise, meaningful performance updates
* Help improve collections, treatment follow-through, schedule utilization and patient retention

Patient Experience

* Serve as a trusted point of contact for patients in person, by phone, text and email
* Create a warm, polished and professional first impression
* Ensure that patients receive clear and timely communication
* Coordinate a seamless experience from the first inquiry through treatment completion
* Resolve patient concerns with empathy, discretion and sound judgment
* Protect patient confidentiality
* Anticipate patient needs and address concerns before they become larger problems
* Maintain a calm and reassuring presence, even during demanding situations

What Successful Performance Will Look Like

During the first 30 days, the selected candidate will be expected to:

* Learn the practice philosophy, systems, services, schedule and patient base
* Build productive relationships with the doctor and team
* Understand current front-office workflows
* Review outstanding treatment, recall and reactivation processes
* Identify immediate scheduling, communication and collection opportunities
* Demonstrate dependable follow-through and accurate documentation

During the first 60 days, the selected candidate will be expected to:

* Strengthen daily huddles and schedule preparation
* Establish a reliable treatment follow-up process
* Improve communication between the front and clinical teams
* Identify opportunities to improve patient flow, treatment coordination and administrative execution
* Begin tracking agreed-upon performance indicators

During the first 90 days, the selected candidate will be expected to:

* Demonstrate measurable improvement in front-office organization and follow-through
* Present a practical plan for continued operational improvement
* Maintain reliable reporting for agreed-upon KPIs
* Strengthen treatment coordination, schedule health and patient communication
* Establish themselves as a trusted leadership partner to the doctor

Required Qualifications

* At least five years of progressive dental front-office experience
* At least three years of dental management, senior treatment coordination or comparable leadership experience
* Demonstrated experience presenting comprehensive dental treatment
* Strong understanding of dental terminology and common treatment sequences
* Experience discussing substantial patient financial responsibilities
* Strong Dentrix proficiency or advanced experience with a comparable dental practice-management system
* Working knowledge of dental insurance, benefit estimates, claims and patient financial responsibility
* Experience with collections and accounts receivable
* Experience managing and optimizing provider schedules
* Experience following up on unscheduled treatment
* Strong verbal and written communication skills
* Demonstrated ability to lead, coach and maintain accountability
* High attention to detail
* Strong professional judgment
* Ability to manage multiple priorities without losing accuracy or composure
* Consistent employment history
* Verifiable professional references

Strongly Preferred

* Cosmetic dentistry experience
* Implant dentistry experience
* Full-mouth rehabilitation or complex restorative experience
* Experience presenting treatment plans valued at $10,000 or more
* Experience working in a private PPO or fee-for-service practice
* Experience supervising or coaching front-office team members
* Experience with dental financing platforms
* Documented success improving treatment acceptance, collections, scheduling, accounts receivable or team performance
* Familiarity with dental practice KPIs and performance reporting

## Compensation and Bonus Potential

The anticipated base compensation range is **$80,000–$100,000 annually**, depending on the candidate’s directly relevant experience, leadership background, treatment-coordination ability and demonstrated results.

In addition to base compensation, the position includes opportunities to earn:
