We are seeking a warm, bubbly, and highly adaptable administrative assistant to join our growing private practice in Southwest Austin, where we provide the highest quality periodontal and dental implant care using state-of-the-art technology, advanced biologics, and a strong commitment to an exceptional patient experience.
The ideal candidate is outgoing, caring, dependable, and professional, with strong customer service skills and confidence using electronic dental records and billing software (Dentrix Ascend experience a plus). This role requires someone who can confidently and compassionately navigate all patient interactions—whether patients are anxious, frustrated, emotional, pushy, or simply in need of extra care and reassurance—while maintaining professionalism, poise, and a calm, solution-oriented approach.

You will play an essential role in creating a seamless front office experience, contributing wherever needed, and helping support a practice culture built on compassion, teamwork, accountability, and excellent patient care.

Key Responsibilities & Skills:
Manage insurance processes, including filing claims, submitting required information/letters and following up on claim status
Monitor and respond to emails, including patient referrals and website inquiries
Send, track, and verify completion of new patient paperwork prior to appointments
Verify insurance benefits for new patients and accurately enter into electronic records
Communicate effectively with referring offices regarding radiographs and necessary documentation
Schedule new and existing patients for exams, hygiene visits, and surgical procedures
Assist in maintaining a productive and efficient schedule by helping fill openings and optimize treatment days
Greet and check in patients with a warm, professional, and welcoming demeanor
Answer phones with excellent customer service and clear communication
Accurately transfer information from doctor notes into exam and surgical letter templates for referring providers
Assist with marketing efforts, including visiting referring offices to deliver snacks, goodies, and referral materials
Maintain strong organization and multitasking abilities in a fast-paced environment
Collect payment, assist with collections when needed
Assist with treatment plan presentation when needed
Be familiar with financing options and how to access to assist patients
Be familiar with scanning checks and how an EOD report is run
Be familiar with pulling AR report especially with regards to pending insurance claims
Be familiar with how/when to send patients to collections
Assist with EOD and EOW duties
Preferred Qualifications
Experience with Dentrix Ascend (preferred but not required)
Cross-training in additional front or back office responsibilities is a plus
