We are seeking a friendly, organized, and service-oriented Patient Concierge to be the welcoming face of our practice and ensure our patients receive outstanding support from the moment they arrive.
Job Summary
The Patient Concierge serves as the first point of contact for patients, delivering warm hospitality, efficient administrative support, and personalized assistance throughout their visit. This role combines front-desk reception duties with a high level of customer service to create a concierge-level experience, helping patients feel valued, informed, and at ease.
Key Responsibilities
• Warmly greet patients and visitors upon arrival, providing a friendly and professional welcome.
• Check patients in and out efficiently, verifying personal and insurance information, updating records as needed, and scanning necessary documents.
• Manage the appointment schedule to optimize patient flow, minimize wait times, and ensure smooth daily operations.
• Answer multi-line phones promptly and courteously, addressing inquiries, scheduling or rescheduling appointments, and routing calls as appropriate.
• Provide clear communication about upcoming visits, treatment overviews, and any preparations needed.
• Handle patient payments, process transactions accurately, explain financial details, and offer payment options when necessary.
• Assist with insurance verification, pre-authorizations, and basic billing questions (working closely with the team as needed).
• Maintain a clean, organized, and inviting reception area and waiting room.
• Offer personalized touches, such as escorting patients to treatment areas, providing comfort items, or addressing concerns to enhance the patient experience.
• Follow up on patient communications (e.g., appointment reminders, post-visit outreach) as directed.
• Contribute to a positive team environment by collaborating with clinical staff and supporting office goals.
Qualifications
• High school diploma or equivalent required; additional education in healthcare administration or customer service is a plus.
• Previous experience in a dental office, medical reception, customer service, or hospitality role preferred.
• Strong interpersonal and communication skills with a genuine passion for helping others.
• Excellent organizational abilities and attention to detail.
• Proficiency with computers, scheduling software, and basic office equipment (experience with dental practice management software is a plus).
• Ability to multitask in a fast-paced environment while maintaining a calm and positive demeanor.
• Professional appearance and attitude.
• Understanding of HIPAA and patient privacy guidelines.
Compensation & Benefits
• Starting salary of $38,000 per year for candidates with limited experience.
