Director of Operations/Practice Manager

We are a private practice in Southwest Austin that provides the highest quality periodontal and dental implant care with state-of-the-art technology, premium biologics and an excellent patient experience. You can expect a relaxed environment in a modern top floor office over-looking the hills. Our group is small, yet growing with team players that have autonomy. The office is open Tuesday through Friday, and off early on Fridays. We have coffee, breakroom snacks, birthday celebrations, holiday lunches, doordash deliveries and team social outings. The ideal candidate will have a track record of long-term commitments and professional growth in previous roles rather than short-term opportunities with various offices. We are looking for an experienced and personable dental office manager that has held a similar position for at least 4 years. The ideal candidate has the knowledge, confidence and leadership skills to manage operations, staff and patients with compassion creating a positive work culture.

Experience with treatment plan presentation, patient education and case acceptance is equally important. If you are coming from a general office, you will be learning the new language of periodontics/implantology. You must be highly motivated to learn the terminology and understand the what/why/how of every procedure we do.

Education/Experience Requirements
-Previous roles reflect long-term commitments (>4+ years) and stability
-4+ years as dental office manager responsible for operations
-Significant experience with staff management and patient management
-Competent with computers, word processing and record management
-Dentrix Ascend practice management software experience highly preferred

General Duties
-Administering day-to-day operations and problem solving
-Create and implement systems
-Patient management
-Staff management and accountability
-Legal and regulatory compliance
-Financial reports and goals
-Support doctor in any aspect as needed

Day-to-day Operations:
-Run staff meetings
-Daily staffing, assignments/duties
-Ensure excellent patient experience
-Improve/maintain a great office culture
-Manage appointment/scheduling problems
-Treatment planning presentation, surgery scheduling, collections and follow-up
-General administrative support for employees
-Support and communicate with doctor throughout the day
-Be able to take on any support staff role when a staff member is out
-Continually identify areas needing improvement
-Delegate tasks to support staff as needed

Analyze current processes and create/implement systems:
-Staff
-Referrals
-Patients/appointments
-Business

Patient Management:
-Oversee patient relations - from referral to exam to treatment planning to scheduling to surgery and follow-up
-Handle patient complaints, difficult patients and negative reviews
-Ensures patient are informed of office policies
-Assist support staff as needed (appointing, collections, insurance, referrals, etc)
-Oversee patient experience and step in as needed to assure excellent patient care experience
-Manage patient/financial accounts
-Handle/arrange care in event of rare emergency

Staff management:
-Assign, direct and manage staff duties
-Determine staff schedules, hours, pto
-Recruit, interview, hire/fire
-Arrange contract staffing as needed
-Orient and train new staff
-Monitor staff performance and hold staff accountable
-Conduct staff reviews and check in with staff weekly
-Coordinate team meetings, get togethers and any social outings
-Engage in conflict resolution
-Oversee and assist PRC as needed with marketing, marketing materials, event planning, community outreach, and social media development/maintenance
-Oversee and assist Lead Assistant as needed with ordering of materials/supplies and patient care
-Oversee and assist front staff with referrals, appointing, insurance, patient questions and collections

Legal and regulatory compliance:
-Organize staff training on OSHA/HIPAA compliance
-Be aware and display any requirement by federal, state or local law
-Radiograph machines/cbct
-Laser
-PCI compliance
-Be aware of and follow rules/guidelines of Texas Board of Dentistry
-Stay current with trends, legislation and regulations in the dental profession
-Know, display, follow dental office contingency plan
-Arrange and document CE/training needed for staff for medical emergencies, BLS and sedation
-Keep track of staff professional licenses and expiration
-Keep track of staff BLS and expiration

Financial/Referrals:
-Set financial goals
-Share financial goals with staff
-Monitor goals through the day, week or month
-Marketing and goodie drop offs to potential/new referring offices

Expected hours: 40 per week
