Limestone Hills Orthodontics is growing, and we’re looking for a Treatment & Scheduling Coordinator (TC) to be the friendly, well‑organized “first impression” for our patients—guiding them from their very first phone call through a successful start of treatment. Core Responsibilities
Treatment Coordination Scheduling & Front‑Desk Support (some days)
• Welcome new patients, explain the practice workflow, and build rapport from the first interaction. • Answer phones, triage inquiries, and schedule/reschedule all patient appointments. Keep an eye on off hours patient texts.
• Prepare for and assist in new‑patient exams (records, iTero scans, photos, X‑rays).
• Optimize the doctor’s and clinical team’s schedules for productivity and patient convenience.
• Present treatment plans and financial options clearly and confidently; handle fee discussions, deposits, and financing paperwork (CareCredit, in‑house plans, insurance estimates).
• Confirm appointments, manage recall and observation lists, and follow up on no‑shows/cancellations.
• Track pending treatment and follow up (email/text/phone) to convert consults to starts.
• Maintain accurate patient demographics and insurance information in the practice‑management software.
• Coordinate with the Revenue Cycle Management (RCM) manager on insurance pre‑authorizations and payment posting.
• Collect co‑pays and maintain an accurate daily ledger; prepare end‑of‑day reports.
• Monitor monthly case‑acceptance metrics and collaborate with the doctor on growth strategies. •
Assist with basic office tidying, supply inventory (in conjunction with the lead assistant), front‑desk presentations and dental office visits that enhance our brand.

What We’re Looking For
A polished, articulate communicator who can translate clinical recommendations into clear patient benefits.
Prior experience as a Treatment Coordinator, in an orthodontic (better) or dental/medical front office preferred (hospitality or luxury‑service backgrounds also welcome).
Solid understanding of dental/medical insurance terminology (we’ll train you on the orthodontic specifics).
Comfort with practice‑management software, digital imaging, and basic MS Office/Google Workspace tools.
Exceptional organization, attention to detail, and a proactive problem‑solving attitude.
Bonus: Current dental‑assisting license or experience taking orthodontic records.
