We are a boutique cosmetic and restorative dental practice in Williamsburg, Brooklyn, and we're looking for a Patient Coordinator who leads with warmth, takes pride in the details, and genuinely loves taking care of people.
We're not a typical dental office. Our patients come to us because they want something different — thoughtful, unhurried care from a team that knows their name and remembers what matters to them. We're looking for someone who wants to be that first and lasting impression.
What You'll Do
Guide new patients through onboarding from first contact to first visit
Support treatment acceptance by presenting options clearly, warmly, and without pressure
Manage in-office flow so every patient feels attended to, never rushed
Oversee payments, collections, and financial conversations with confidence and care
Contribute to the overall ambiance and hospitality of the space
Anticipate needs before they're voiced — that's the concierge standard we hold ourselves to
The Schedule
This is a full-time, in-person position (32–40 hours/week):
Monday: 9:00 AM – 4:00 PM
Tuesday: 7:45 AM – 5:45 PM
Wednesday: 7:45 AM – 5:45 PM
Thursday: 7:45 AM – 4:00 PM
Friday: 8:45 AM – 4:00 PM
This schedule is fixed. We are not able to accommodate modifications for school, second jobs, or other outside commitments. We're looking for someone who can commit to this role fully and long-term.
Who We're Looking For
Someone who takes ownership. Someone who finds satisfaction in a system that runs beautifully and a patient who leaves happier than when they walked in. You're professional, polished, and genuinely kind — not because it's required, but because that's who you are. You carry yourself with confidence and speak with conviction. You don't second-guess yourself in front of patients — you know your stuff and it shows.
When a patient hears a number and hesitates, you don't flinch. You understand the value of what we offer and you communicate it naturally, without apology and without pressure. Premium care deserves a confident voice — and that's yours.
We have a refined, understated aesthetic — our team's appearance reflects the calm, clean environment we've built. Uniforms are provided and laundered.
Requirements
Minimum 2 years of front desk experience in a cosmetic or fee-for-service dental practice. (Required) You should understand how to communicate a multi-step treatment plan outside of dental insurance guidelines.
Demonstrated comfort presenting treatment plans and having financial conversations with patients
Experience with dental practice management software - We use Oryx
Excellent communication skills, written and verbal
Ability to commit to the schedule above without modification
Reliable, detail-oriented, and a true team player
What We Offer
$25–$35/hour, commensurate with experience
Eligibility for team-based bonus structure after a 3-month period
Dental benefits, including cosmetic dentistry and Invisalign
Uniform provided and laundered
Ongoing professional development and continuing education opportunities
A collaborative, hospitality-first culture where staff are valued as much as patients
To Apply
Send your resume and a cover letter telling us why this role is the right fit for you — specifically, we want to hear about your experience in a cosmetic or fee-for-service dental environment and how you've handled treatment plan presentations or pricing conversations with patients. Applications without both a cover letter and resume will not be considered.
