Position Summary
The Patient Coordinator plays a key role in the success of an endodontic practice by
ensuring smooth and efficient patient flow, managing administrative functions, and
providing excellent customer service. This position serves as the first point of contact for
patients, supporting them throughout their endodontic care journey - from scheduling and
check-in to treatment coordination and post-operative follow-up. The Patient Coordinator
helps create a welcoming, professional environment while supporting the clinical team in
delivering outstanding care.
Essential Duties & Responsibilities
Patient Interaction & Support
• Greet and welcome patients warmly upon arrival
• Assist patients with check-in and check-out procedure
• Explain practice policies, procedures, and treatment information clearly
• Answer patient phone calls and respond to inquiries promptly and professionally
• Schedule and confirm patient appointments, optimizing chair utilization and patient
flow
• Monitor schedules for cancellations and proactively reschedule patients as needed
• Provide post-treatment support, including reviewing instructions and coordinating
follow-up appointments
Administrative Duties
• Maintain accurate patient records in the electronic health record (EHR) system
• Verify insurance benefits, process pre-authorizations, and explain coverage to patients
• Handle billing, collect co-pays, and assist with outstanding balances
• Prepare, manage, and organize patient forms and documentation
• Support referral coordination by scheduling, tracking, and following up with referring
offices

Communication & Coordination
• Serve as a liaison between patients, doctors, and staff to ensure clear communication
• Collaborate with the clinical team to prepare for daily patient schedules
• Coordinate with referring dental offices to maintain strong professional relationships
• Facilitate smooth transitions for patients referred in or out of the practice
Customer Service
• Provide a professional, compassionate, patient-centered experience
• Resolve patient concerns or complaints promptly, escalating to management when
necessary
• Maintain a positive and supportive environment for patients and their families
Compliance & Safety
• Adhere to HIPAA and all privacy/confidentiality regulations
• Follow OSHA and practice protocols for safety and infection control in non-clinical areas
• Maintain regular and reliable attendance to support patient care
Qualifications
• High School Diploma or GED required; associate degree or additional
business/healthcare coursework preferred
• Previous experience in dental or healthcare administration highly desirable; specialty
practice experience (endodontics) a plus
• Proficiency with EHR/dental software (e.g., EndoVision, TDO, etc.)
• Strong knowledge of insurance processes, including verification and authorization
• Current CPR/BLS certification preferred
