We are seeking an experienced Dental Office Coordinator / Office Manager to oversee daily office operations, support clinical and administrative teams, and serve as a key point of coordination between providers, staff, and patients.
**Position Summary
The Dental Office Coordinator / Manager will manage front-office operations, coordinate staff workflows, support billing and insurance processes, and ensure smooth day-to-day operations. This role requires strong leadership, organizational skills, and effective communication with dentists, team members, and patients.
Key Responsibilities
** Office Management & Operations
Oversee daily front-office operations and patient flow
Manage scheduling for providers and staff using Open Dental
Ensure efficient workflows and office organization
Support staff coordination, onboarding assistance, and daily HR-related needs
Handle inter-office communication and assist with conflict resolution
Support leadership with operational and administrative tasks as needed
**Patient Coordination & Experience
Assist with patient coordination, especially for complex or specialty procedures
Communicate treatment plans clearly and professionally
Support patients throughout their care journey
Address patient concerns in a professional and empathetic manner
**Billing, Insurance & Financial Coordination
Working knowledge of PPO, Medicaid, and other dental insurance plans
Assist with insurance verification, claims follow-up, and billing coordination
Familiarity with implant dentistry and oral surgery billing is a strong plus
Work closely with billing teams to ensure accuracy and compliance
**Clinical & Provider Support
Act as a liaison between dentists, specialists, and administrative staff
Support providers with scheduling, case coordination, and office logistics
Experience with implant dentistry, oral surgery, and full-arch cases (All-on-4) preferred
**Required Qualifications
Minimum 3 years of dental office management or coordinator experience
Bilingual (English & Spanish) strongly preferred
Proficiency with Open Dental software
Strong computer and dental office technology skills
Experience with dental insurance (PPO, Medicaid)
Excellent organizational and multitasking abilities
Strong leadership, communication, and interpersonal skills
Ability to manage sensitive situations professionally and confidentially
Reliable, detail-oriented, and proactive
**Preferred Experience (Not Required)
Background in oral surgery, implant dentistry, or full-mouth rehabilitation
Experience coordinating complex treatment plans (e.g., All-on-4 cases)
Experience leading or supervising front-office teams
